Smooth planning with the live/BACKEND Staff App
There are many variables that play a part in the planning of duty rosters, and it can quickly become a muddy process as soon as employees get sick, forget a shift or when a shift has to be moved or canceled.
In the future, planning becomes much easier with the live/BACKEND Staff App, which will be included in the Event package when it is complete. The beta version will be released in late September where Godset, Gimle and Richter Gladsaxe are the first venues that will try the app.
In this blog post, we will only cover the features that are included in the beta release of the live/BACKEND Staff App. The other features, that we have previously written about, will be added gradually.
New improved design
We have given the design an overhaul with a whole new look where all user interfaces are updated. The result is an even more sharp and user-friendly design as well as – dare we say – greater look overall.
Smooth signup flow & login
The signup flow and subsequent login is now a walk-in-the-park. Signup is completed by entering your mobile number. You will hereafter receive a verification code via SMS. Then just enter a personal code of your choice and you’re done!
All logins in the future are either via the self-selected code – which can be changed if desired – or biometric login, where it is possible to log in via finger scanning or face recognition.
Choose which duty rosters you want to connect with the app
Based on your mobile number, you can access relevant schedules that you have signed up for. It is possible to connect several duty rosters, if you are very active and affiliated with several cultural institutions, or if a cultural institution has several duty rosters, e.g. ‘the cloakroom’, ‘the bar’, etc. The app communicates directly with the live/BACKEND system, where our developers have ensured a smooth flow of information between the two.
Quick overview and easy sign up to shifts
You get an overview of shifts in chronological order where you can see:
- Which shifts you can sign up for.
- Which shifts you are already signed up for.
- Which shifts that have been suggested for you to sign up for.
- Which shifts that you are signed up as a backup.
- Which shifts that are canceled.
Managers are notified immediately whenever a significant change is made that affects the scheduling. Via the live/BACKEND dashboard, managers also have the option of accepting or rejecting signups as well as shift exchanges.
Functions at each shift
By clicking on the individual shifts you get a detailed overview of the time and place of the event, area of responsibility, the tasks to be performed on the shift and any instructions such as “remember a black shirt” etc. You can also see which other employees that are signed up for the same shift. Each shift also has a number of essential functions that allow the user:
- To exchange shifts. This must be approved by a manager.
- To call in sick.
- To see comments on the shift and ask questions. This ensures that all relevant conversations are held in one place so that they are not spread out on emails, Facebook groups, SMSs etc.
- To see history changes
Limitation
When it comes to IT, it is usually always necessary to make some difficult choices since it is not possible to include everything. We have therefore decided to focus on iOS in the beginning as well as iPhone 6S and up. Each additional supported device requires more work in terms of development as well as in ongoing maintenance – especially in connection with updates. The limitation to these parameters therefore means that we can focus on delivering the best possible experience on the devices we support.
Love is in the air
Very soon, the first prototype will come out to those who have signed up for beta testing the app. We hope it is love at first sight, but of course we are also aware that new IT products will always have some teething problems that need to be fixed in the beginning.
We will of course keep you updated on the developments via our Facebook page as well as our monthly newsletter “live/BACKSTAGE”.
